Event Detail Page

The event detail page is the primary workspace for managing a strike event. It is organized into tabs, each covering a different aspect of event operations. The tabs visible to a user depend on their role and permissions.

Accessing the Event Detail Page

  1. Navigate to the Event List page.
  2. Click on the name of the event you want to open.
  3. The event detail page loads with the Overview tab selected by default.

The top of the event detail page displays:

  • Event Name — The name of the event.
  • Client Name — The associated hospital or health system.
  • Status Badge — The current lifecycle status (Draft, Planning, Active, Completed, or Archived).
  • Date Range — The start and end dates of the strike.
  • Actions Menu — A dropdown with event-level actions such as Edit, Change Status, and Archive.

Tabs

The event detail page contains the following tabs. Each tab is described below with its purpose and the permission required to view it.

If a tab is not visible to you, your role does not include the required permission. Contact your administrator to request access.


Overview Tab

The Overview tab provides a high-level dashboard for the event.

Key Metrics Displayed

  • Total Candidates — Number of caregivers imported or assigned to the event.
  • Confirmed Candidates — Number of candidates who have confirmed participation.
  • Overall Fill Rate — Percentage of shift requirements that have been filled.
  • Facilities Count — Number of facilities in the event.
  • Days Until Start (or Days Active) — Countdown to the strike start date, or days elapsed since it began.

Event Details Section

Displays the editable event fields: Event Name, Client Name, Start/End Date, and Description. Click Edit to modify these values.

Facilities Tab

The Facilities tab manages the three-level facility hierarchy that defines where caregivers will be deployed.

Managing Facilities

Adding a Facility

  1. Click Add Facility on the Facilities tab.
  2. Enter the facility name and optional address/contact information.
  3. Click Save.

Adding a Unit to a Facility

  1. Expand the facility row by clicking the arrow icon.
  2. Click Add Unit.
  3. Enter the unit name.
  4. Click Save.

Adding a Specialty to a Unit

  1. Expand the facility, then expand the target unit.
  2. Click Add Specialty.
  3. Select the specialty from the dropdown or type to search.
  4. Click Save.
Auto-Discovery via Import

You do not need to manually create the entire facility hierarchy. When you import caregivers via CSV, the system auto-discovers facilities, units, and specialties from the import data and creates them automatically.

Editing and Deleting

  • Click the Edit icon next to any facility, unit, or specialty to rename it.
  • Click the Delete icon to remove it. Deleting a facility also removes all its units and specialties. Deleting a unit removes all its specialties.
caution

Deleting a facility, unit, or specialty that has candidates or shift requirements associated with it will also remove those associations. This action cannot be undone.

Candidates Tab

The Candidates tab lists all caregivers who have been imported or manually added to the event.

Candidate List Features

  • Search: Filter by name, email, phone, or specialty.
  • Status Filter: Filter by candidate status (e.g., Invited, Confirmed, Declined, Deployed).
  • Export: Download the candidate list as a CSV file.
  • Bulk Actions: Select multiple candidates to perform bulk operations (send survey, send LOU, change status).

Candidate Details

Click on a candidate row to open their detail panel, which shows:

  • Personal information (name, contact details, credentials).
  • Assigned facility, unit, and specialty.
  • Survey responses.
  • LOU status.
  • Travel itinerary.
  • Pre-arrival checklist status.

Surveys Tab

The Surveys tab allows you to create, send, and review survey responses from candidates.

Key Capabilities

  • Create custom survey templates with multiple question types (multiple choice, free text, date, yes/no).
  • Send surveys to individual candidates or in bulk.
  • Track response rates and view individual responses.
  • Export survey results.

LOU Tab

The Letter of Understanding (LOU) tab manages the formal agreement documents sent to candidates.

Key Capabilities

  • Generate LOUs from templates pre-configured for the event.
  • Send LOUs to candidates for electronic signature.
  • Track signature status (Sent, Viewed, Signed, Expired).
  • Download signed LOUs as PDF.

Travel Tab

The Travel tab manages all travel logistics for deployed caregivers.

Key Capabilities

  • Book and track flights, hotels, and ground transportation.
  • View travel itineraries per candidate.
  • Track travel costs and budget.
  • Send travel confirmations to candidates.

OnSite Tab

The OnSite tab supports day-of operations at the facility.

Key Capabilities

  • Check in caregivers as they arrive on site.
  • Issue and track badges.
  • Schedule and track orientation sessions.
  • Monitor real-time staffing coverage.

Work Tracking Tab

The Work Tracking tab records shift-level time and attendance.

Key Capabilities

  • Log shifts worked by each caregiver (date, start time, end time, facility, unit).
  • Track hours worked against contracted hours.
  • Flag discrepancies for review.
  • Export timesheet data for payroll processing.

Pre-Arrival Tab

The Pre-Arrival tab manages checklists of tasks that must be completed before a caregiver arrives on site.

Key Capabilities

  • Define pre-arrival checklists (e.g., credential verification, background check, drug screening, orientation materials).
  • Assign checklists to candidates.
  • Track completion status per candidate.
  • Send reminders for incomplete tasks.

Role-Based Tab Visibility

Different roles see different tabs based on their assigned permissions. The table below shows the default tab visibility for common roles.

Admin
Administrators have access to all tabs on every event.

Client Manager
Client Managers have access to all tabs for events belonging to their assigned clients.

Coordinator
Coordinators typically have access to planning-focused tabs (Facilities, Candidates, Requirements, Surveys, LOU) but not operational tabs (Travel, OnSite).

tip

Role and permission assignments are managed under Administration > Roles. If you need access to a tab you cannot see, ask your administrator to update your role's permissions.
