Your Role

As a Leadership user, you have view-only access designed for executives, directors, and senior stakeholders. Your experience is focused on high-level visibility into operations without the ability to modify data.

What you can do:

  • View the Leadership Dashboard with aggregated metrics and KPIs
  • Review event summaries, fill rates, and operational status
  • Access reports and export data for presentations and decision-making
  • Monitor overall platform activity at a glance

What you will not see:

  • Action buttons on the Event Detail page (no edit, assign, or status change controls)
  • Administrative settings, user management, or system configuration
  • Detailed operational tabs (Staffing, Travel, Surveys) in edit mode

Your interface is streamlined to surface the information that matters most for strategic oversight.

Before You Begin

This training path is designed to be completed in a single 30-minute session. Use the checkboxes to track your progress.


Training Modules

Module 1: Platform Overview

Estimated Time: ~10 minutes

Familiarize yourself with the platform layout and how to navigate to the areas relevant to your role.

  • Read the Quick Start Guide for a high-level introduction to HCSS Events Platform
  • Review Navigating the App to understand the sidebar and page structure
  • Log in and confirm you can see the Leadership Dashboard in the navigation
  • Note which menu items are visible to you -- your sidebar is intentionally simplified to reduce clutter

Best Practices:

  • Bookmark the Leadership Dashboard for quick access during meetings.
  • If you need information not visible in your view, contact your Admin rather than requesting a role change.

Module 2: Leadership Dashboard

Estimated Time: ~10 minutes

The Leadership Dashboard is your primary landing page, providing a consolidated view of operational health across all active events.

  • Read the Leadership Dashboard Guide
  • Explore the dashboard and understand each metric card and chart
  • Learn how to filter the dashboard by date range, facility, or event status
  • Identify which metrics are most relevant to your reporting needs
  • Understand how fill rates, assignment counts, and status summaries are calculated

The Leadership Dashboard refreshes automatically, but you can also manually refresh to see the latest data. Metrics reflect real-time operational status.

Key Metrics to Watch:

  • Overall fill rate -- Are events adequately staffed?
  • Event status distribution -- How many events are in planning vs. active vs. completed?
  • Trend lines -- Are staffing levels improving or declining over time?

Module 3: Event Overview & Fill Rates

Estimated Time: ~5 minutes

Understand how events are structured and how to interpret fill rate data at a glance.

  • Review the Events Overview to understand the event lifecycle and status meanings
  • Read the Fill Rate Reports Guide to understand how fill rates are calculated
  • Navigate to the Events list and practice filtering by status, facility, or date
  • Click into an event to see the Event Detail page -- note that action buttons are not visible in your role

What to look for:

  • Events with low fill rates that may need attention from Schedulers.
  • Events approaching their start date that are not yet fully staffed.
  • Completed events with final staffing numbers for post-event review.

Module 4: Reports & Exports

Estimated Time: ~5 minutes

Learn how to access and export reports for presentations, board meetings, and strategic planning.

  • Read the Analytics Overview for a summary of available reports
  • Review the Report Exports Guide to learn how to export data
  • Practice exporting a report to CSV or PDF format
  • Identify which reports align with your regular reporting cadence (weekly, monthly, quarterly)

Best Practices:

  • Set up a regular cadence for reviewing reports -- weekly during active events, monthly during planning periods.
  • Use exported data to build executive summaries and trend analyses.
  • Share report links with other Leadership users rather than emailing raw data.

If you find yourself needing to take actions within the platform (editing events, managing assignments, etc.), speak with your Admin about whether a different role would be more appropriate for your responsibilities.
