Quick Start

This guide walks you through your first login, MFA enrollment, and the essential navigation patterns you will use every day in the platform.

Step 1: Receive Your Account

Your system administrator will create your account and assign you a role. You will receive an email with:

  • Your login URL (e.g., https://events.yourdomain.com)
  • Your email address (used as your username)
  • A temporary password (you will be prompted to change this on first login)

If you have not received an invitation email, contact your administrator. Only users with the

Admin
role can create new accounts.

Step 2: First Login

  1. Open the login URL in a modern web browser (Chrome, Edge, Firefox, or Safari).
  2. Enter your email address and temporary password.
  3. You will be prompted to set a new password. Choose a strong password that meets the following requirements:
    • At least 8 characters
    • Contains uppercase and lowercase letters
    • Contains at least one number
    • Contains at least one special character

Step 3: Multi-Factor Authentication (MFA)

After setting your password, you will be enrolled in email-based multi-factor authentication:

  1. The system sends a 6-digit verification code to your registered email address.
  2. Check your inbox (and spam/junk folder if needed).
  3. Enter the code on the MFA verification screen.
  4. The code expires after 5 minutes. If it expires, click Resend Code to receive a new one.
caution

MFA is required on every login. Make sure you have access to the email address associated with your account. If you are locked out, contact your administrator to reset your MFA enrollment.

Step 4: Explore the Dashboard

After successful authentication, you land on the Dashboard -- your home base in the platform.

The dashboard displays:

  • Active Events -- events currently in the Active status with key metrics
  • Quick Stats -- aggregate counts of candidates, assignments, and fill rates
  • Recent Activity -- a timeline of recent actions across events you have access to

Step 5: Navigate to Your First Event

  1. Click Events in the left sidebar.
  2. You will see a list of events you have permission to view.
  3. Click on any event name to open the Event Detail page.
  4. The Event Detail page contains multiple tabs (Fill Rate, Assignments, Candidates, etc.). The tabs visible to you depend on your role and permissions.

Bookmark events you work on frequently. You can also use the search bar at the top of the Events list to quickly find events by name, facility, or status.

Step 6: Understand Your Workspace

Depending on your role, your primary workspace will be different:

Scheduler
Events > [Event] > Assignments tab -- where you manage staffing
Travel Coordinator
Events > [Event] > Travel tab -- where you book travel
Supervisor
Events > [Event] > Candidates tab -- where you manage the candidate pool
OnsiteAdmin
Events > [Event] > On-Site tab -- where you track arrivals
Leadership
Dashboard -- for an overview of all operations
Admin
Wherever the situation requires -- full access to all areas

Common First Actions by Role

Scheduler

  1. Open an active event
  2. Go to the Assignments tab
  3. Click Import to upload a staffing CSV, or Manual Assign to add individual assignments
  4. Review the Fill Rate tab to track progress toward staffing goals

Travel Coordinator

  1. Open an active event
  2. Go to the Travel tab
  3. Review pending travel requests
  4. Book travel arrangements and update statuses

Supervisor

  1. Open an active event
  2. Go to the Candidates tab
  3. Review the candidate pool and update statuses
  4. Check the Surveys tab for pending survey responses

OnsiteAdmin

  1. Open an active event
  2. Go to the On-Site tab
  3. Mark caregivers as arrived
  4. Track orientation completion

  • Forgot your password? Use the "Forgot Password" link on the login page.
  • Locked out of MFA? Contact your system administrator.
