Creating Events
This guide walks through the process of creating a new event in HCSS Events Platform. Events represent strike operations at healthcare facilities and serve as the container for all related staffing data.
Prerequisites​
Before creating an event, ensure the following:
- You have an account with the Events.Create permission assigned to your role.
- You know the client name (the hospital or health system requesting strike staffing).
- You have the anticipated start and end dates for the strike.
Step-by-Step Instructions​
Step 1: Navigate to the Create Event Page​
- From the Event List page, click the Create Event button in the upper-right corner.
- The Create Event form will appear.
Step 2: Fill in Event Details​
Complete all required fields on the form:

| Client Name | Yes | The hospital or health system client. | Select from the dropdown of existing clients, or type to search. If the client does not exist, it must be created first under Administration > Clients. |
| Start Date | Yes | The planned start date of the strike. | Must be a future date (or today). Cannot be after the end date. |
| End Date | Yes | The planned end date of the strike. | Must be on or after the start date. |
| Description | No | Free-text notes about the event. | Use this field to capture context such as the reason for the strike, union involved, number of facilities, or special considerations. |
Adopt a consistent naming pattern across your organization. A common format is:
[Client Name] - [City/Region] - [Month Year]
This makes events easy to find and sort on the event list page.
Step 3: Save the Event​
- Review all entered information for accuracy.
- Click Save to create the event.
- The event is created in Draft status.
- You are redirected to the Event Detail Page for the newly created event.
What Happens After Creation​
When an event is created:
- The event appears on the Event List page with a status of Draft.
- The event detail page is available with all tabs, but most will be empty until data is added.
- No facilities, candidates, or requirements exist yet — these are added in subsequent steps.

Editing an Event After Creation​
To edit an event's basic information after it has been created:
- Open the event from the Event List page.
- On the Overview tab, click the Edit button.
- Modify any of the fields (Event Name, Client Name, Start/End Date, Description).
- Click Save to apply changes.
Changing the Start Date or End Date on an event that already has shift requirements, travel bookings, or scheduled work may cause conflicts. Review dependent data before modifying dates on events in Planning or Active status.

Troubleshooting​
"Create Event" button is not visible​
Your account does not have the Events.Create permission. Contact your administrator to request this permission.
Client name is not in the dropdown​
The client must be created before it can be associated with an event. Navigate to Administration > Clients and add the client, or ask an administrator to do so.
Cannot set a start date in the past​
Events are designed to represent upcoming or current strike operations. If you need to create a record for a past event, contact your administrator about adjusting the validation setting.
