Viewing and Filtering Caregivers

The caregiver list page is the primary interface for browsing, searching, and filtering the caregiver pool. This guide covers all available filtering options, column sorting, pagination, and export capabilities.

Accessing the Caregiver List

  1. Log in to HCSS Events Platform.
  2. Click Caregivers in the left navigation sidebar.
  3. The caregiver list loads with default settings: all active caregivers, sorted by last name ascending, 25 rows per page.

Filtering Caregivers

Filters allow you to narrow the caregiver list to a specific subset of records. All filters are located in the filter bar above the data table.

Filter by Status

The status filter controls which caregivers appear based on their system status:

StatusDescription
ActiveCaregiver is eligible for assignment to events. This is the default filter.
InactiveCaregiver has been deactivated in BlueSky CRM. They cannot be assigned to new events.
DNR (Do Not Return)Caregiver has been flagged as Do Not Return. See DNR Management.
AllShows all caregivers regardless of status.

Steps:

  1. Click the Status dropdown in the filter bar.
  2. Select one or more statuses.
  3. The list refreshes automatically.

Filter by Facility

When caregivers are assigned to events at specific facilities, you can filter to see only those assigned to a particular location.

Steps:

  1. Click the Facility dropdown.
  2. Start typing a facility name to search, or scroll through the list.
  3. Select one or more facilities.
  4. The list updates to show only caregivers with current or past assignments at the selected facilities.

Filter by Unit

Units represent specific departments or floors within a facility (e.g., ICU, Med/Surg, ER, L&D).

Steps:

  1. Click the Unit dropdown.
  2. If you have already selected a facility filter, the unit dropdown will show only units for that facility.
  3. Select one or more units.
tip

Filter by facility first, then by unit. This narrows the unit dropdown to only relevant options and avoids confusion when multiple facilities have similarly named units.

Filter by Specialty

Specialty refers to the caregiver's clinical credential or role:

Steps:

  1. Click the Specialty dropdown.
  2. Select one or more specialty codes.
  3. The list filters to show only caregivers with a matching primary specialty.

Filter by Shift Type

Shift type indicates the caregiver's preferred or assigned shift schedule:

Steps:

  1. Click the Shift Type dropdown.
  2. Select one or more shift types.
  3. The list updates accordingly.

Combining Filters

All filters can be combined to create precise views. For example:

  • Active RNs at Memorial Hospital on Day shift: Set Status = Active, Specialty = RN, Facility = Memorial Hospital, Shift Type = Day.
  • All DNR caregivers: Set Status = DNR, clear all other filters.

Active filters appear as removable chips below the filter bar. Click the X on any chip to remove that filter, or click Clear All Filters to reset.

Column Sorting

Click any column header to sort the table by that column. A small arrow icon indicates the current sort direction:

  • First click: Sort ascending (A-Z, oldest-newest, lowest-highest).
  • Second click: Sort descending (Z-A, newest-oldest, highest-lowest).
  • Third click: Remove sort, revert to default (last name ascending).

Sortable Columns

Only one column sort can be active at a time. Clicking a new column header replaces the previous sort.

Pagination

The caregiver list uses server-side pagination to handle large datasets efficiently.

Pagination Controls

ControlDescription
Previous / NextNavigate one page forward or back.
Page NumbersJump to a specific page.
Page Size SelectorChange the number of rows per page: 10, 25, 50, or 100.
Total CountDisplayed above the table, showing the total number of matching records.

Steps to change page size:

  1. Locate the page size selector at the bottom-left of the table.
  2. Click the dropdown and select 10, 25, 50, or 100.
  3. The table reloads with the new page size. Your current filters and sort are preserved.
tip

If you need to review a large number of caregivers at once, increase the page size to 100. For faster page loads on slower connections, use 10 or 25.

Exporting from the List View

You can export the currently filtered and sorted caregiver list directly from this page.

  1. Apply your desired filters and sort.
  2. Click the Export button in the top-right corner.
  3. Select the export format: CSV, Excel, or PDF.
  4. The export includes only the records matching your current filters.

Saved Views

Frequently used filter combinations can be saved as named views for quick access.

To save a view:

  1. Apply your desired filters and sort.
  2. Click the Save View button (bookmark icon) in the filter bar.
  3. Enter a name for the view (e.g., "Active RNs - Day Shift").
  4. Click Save.

To load a saved view:

  1. Click the Saved Views dropdown in the filter bar.
  2. Select a view from the list.
  3. All filters and sort settings are restored.

To delete a saved view:

  1. Open the Saved Views dropdown.
  2. Click the trash icon next to the view you want to remove.
  3. Confirm the deletion.

Saved views are per-user. Other team members will not see your saved views.
