Rapid Response Reporting
The Rapid Response reporting module provides actionable insights into pool health, deployment performance, and operational efficiency. Use these reports to measure response times, track utilization trends, identify coverage gaps, and demonstrate the value of the Rapid Response program to leadership.
Accessing Reports
Navigate to Rapid Response > Reporting to access the report library. All reports support custom date ranges, filters, and export to CSV, PDF, or Excel.
Available Reports
1. Deployment Metrics Report
The Deployment Metrics report provides a comprehensive summary of all Rapid Response deployments within a selected time period.

| Completed Deployments | Deployments that reached the Completed status. |
| Cancelled Deployments | Deployments that were cancelled before completion. |
| Cancellation Rate | Percentage of initiated deployments that were cancelled. |
| Average Deployment Duration | Mean number of days per completed deployment. |
| Total Caregiver-Days | Sum of all deployment days across all caregivers (deployment count multiplied by duration). |
| Unique Caregivers Deployed | The number of distinct pool members who were deployed at least once. |
| Events Served | The number of distinct events that received Rapid Response deployments. |
Deployment Metrics Filters

2. Response Time Report
The Response Time report measures how quickly the Rapid Response system mobilizes caregivers from request to arrival.

| Assignment-to-Travel | Time from assignment to travel booking confirmation (hours). |
| Travel-to-Arrival | Time from travel booking to caregiver arrival on site (hours). |
| Total Response Time | End-to-end time from request to on-site arrival (hours). |
| Target Achievement Rate | Percentage of deployments where total response time met the defined target (default: 48 hours). |
Response Time Breakdown
The report displays response times in a waterfall chart format, allowing you to identify which phase of the deployment process takes the longest:
Request --> Assignment (avg 2h) --> Travel Booking (avg 4h) --> In Transit (avg 12h) --> On Site

If the Assignment-to-Travel phase consistently exceeds targets, review the travel coordination workflow. Common bottlenecks include after-hours booking requests and last-minute airline availability during peak travel seasons.
3. Pool Utilization Report
The Pool Utilization report measures how effectively the Rapid Response pool is being used.

| Utilization Rate | Percentage of pool members who were deployed at least once during the period. |
| Deployment Frequency | Average number of deployments per pool member during the period. |
| Days Deployed (Average) | Average number of days each pool member spent on deployment. |
| Idle Pool Members | Pool members who were Approved and Available but were not deployed during the period. |
| Over-Utilized Members | Pool members deployed more than the defined threshold (default: 3 times per quarter). |
Utilization Distribution
The report includes a histogram showing the distribution of deployment counts across pool members, helping identify whether workload is evenly distributed or concentrated among a few individuals.

High concentration of deployments among a small group of caregivers increases burnout risk and reduces pool resilience. Aim for a utilization rate above 60% to ensure the pool is being used broadly.
4. Pool Readiness Report
The Pool Readiness report provides a point-in-time assessment of the pool's ability to respond to new deployment requests.

| Approved and Available | Pool members who are both Approved (vetting current) and Available (not deployed, not blocked). |
| Readiness Rate | Percentage of total pool that is currently deployable (Approved + Available). |
| Vetting Expiring (30 days) | Pool members with at least one credential expiring within the next 30 days. |
| Vetting Expiring (60 days) | Pool members with at least one credential expiring within the next 60 days. |
| Specialty Coverage Score | Percentage of specialty targets that are currently met or exceeded. |

Review the Pool Readiness report at the start of each week. If the overall Readiness Rate drops below 50%, consider temporarily suspending non-critical deployments or accelerating the vetting process for pending pool applicants.
5. Caregiver Performance Report
The Caregiver Performance report provides deployment-level performance data for individual pool members.

| Total Days Deployed | Cumulative days spent on Rapid Response deployments. |
| Last Deployment | Date of the most recent completed deployment. |
| Feedback Summary | Aggregated ratings or notes from on-site coordinators (if feedback has been recorded). |
6. Audit Log Report
The Audit Log report provides a complete record of all actions taken within the Rapid Response module.

Export Options
All Rapid Response reports can be exported in three formats:

Exporting a Report
- Configure the report filters and date range.
- Click Export in the upper-right corner of the report.
- Select the desired format (CSV, PDF, or Excel).
- The file downloads to your browser's default download location.
Scheduled Reports
Reports can be scheduled for automatic generation and delivery via email.
Setting Up a Scheduled Report
- Open the desired report and configure filters.
- Click Schedule in the upper-right corner.
- Configure the schedule:

- Click Save Schedule.
Scheduled reports use the saved filter configuration at the time of creation. If you need to change the filters for a scheduled report, edit the schedule and update the filter settings.
