Candidate Funnel
The candidate funnel provides a visual representation of how candidates progress through the event pipeline, from initial import to active work. It highlights conversion rates at each stage, helping event coordinators identify bottlenecks, measure outreach effectiveness, and forecast staffing levels.
Accessing the Candidate Funnel​
- Navigate to Events in the left sidebar.
- Select the event you want to analyze.
- Click the Funnel tab.
The Funnel tab requires the Events.Funnel permission. If you do not see this tab, contact your administrator to request access.
Understanding the Funnel Visualization​
The funnel displays as a horizontal bar chart with each stage represented as a progressively narrowing bar. The width of each bar is proportional to the number of candidates at that stage.
Funnel Stages​
| Stage | What It Measures |

| Imported | Total number of caregivers imported into the event's candidate pool. This is the widest bar and represents 100% of the starting pool. |
| Contacted | Number of candidates who have been reached through outreach (phone, email, text, survey). |
| Confirmed | Number of candidates who confirmed their participation. |
| Arrived | Number of candidates who physically arrived at the event location. |
| Working | Number of candidates who are currently working or have worked at least one shift. |
| Completed | Number of candidates who have finished all their shifts. |
Reading the Funnel​
Each bar in the funnel displays three pieces of information:
- Count -- The number of candidates at this stage.
- Percentage of Total -- What proportion of the original imported pool reached this stage.
- Stage Conversion Rate -- The percentage of candidates from the previous stage who advanced to this stage.
Example funnel data:

In this example:
- 90% of imported candidates were contacted successfully.
- The biggest drop-off is from Contacted to Confirmed (67%), indicating that outreach-to-confirmation is the primary bottleneck.
- Once candidates confirm, most arrive (87.5%) and begin working (95.2%).
- Completed is lower because the event is still in progress -- many candidates are still in the Working stage.
Declined and Removed Metrics​
Below the main funnel, a secondary section shows Declined and Removed candidates:

| Declined by Stage | Breakdown of which stage candidates were in when they declined (e.g., 5 declined from Imported, 12 from Contacted, 3 from Confirmed). |
| Decline Reasons | Distribution of decline reasons (Not Available, Personal, Pay/Compensation, Location, Other). |
| Total Removed | Number of candidates removed at any stage. |
| Removed by Stage | Breakdown of removal stage. |
| Removal Reasons | Distribution of removal reasons (Credential Issue, DNR, Facility Request, No Response, Duplicate, Error, Other). |
Funnel Filters​
The funnel can be filtered to analyze subsets of candidates:
Filter by Specialty​
- Click the Specialty dropdown above the funnel.
- Select one or more specialties (RN, LPN, CNA, etc.).
- The funnel recalculates to show only candidates with the selected specialties.
This is useful for answering questions like "What is our RN conversion rate compared to CNA?"
Filter by Facility​
- Click the Facility dropdown.
- Select one or more facilities.
- The funnel shows only candidates assigned to the selected facilities.
Filter by Date Range​
- Click the Date Range picker.
- Select a start and end date.
- The funnel shows only candidates who entered the Imported stage within the selected date range.
This is useful for comparing outreach waves (e.g., first import batch vs. second).
Clearing Filters​
Click Clear Filters to reset the funnel to show all candidates.
Comparing Funnels​
The funnel page supports side-by-side comparison mode for analyzing differences between groups.
How to Compare​
- Set the filters for the first group (e.g., Specialty = RN).
- Click Add Comparison.
- Set the filters for the second group (e.g., Specialty = CNA).
- Two funnels display side by side with a comparison summary below.
Comparison Summary​
The comparison summary highlights:

Use comparison mode before major events to identify which specialty or region needs more aggressive outreach based on historical conversion patterns.
Funnel Over Time​
The Funnel Over Time view shows how the funnel has changed across a date range, providing a temporal dimension to the analysis.
Accessing Funnel Over Time​
- On the Funnel tab, click Over Time in the view toggle (next to "Snapshot").
- Select a date range and interval (Daily, Weekly).
- A stacked area chart displays, showing how each stage's count has changed over time.
Use Cases​

| Outreach velocity | How quickly does the Contacted count grow after an import? A slow ramp suggests outreach capacity issues. |
| Confirmation momentum | Is the Confirmed count growing steadily, or has it plateaued? A plateau may mean remaining contacted candidates are unlikely to confirm. |
| Arrival tracking | As the event start date approaches, is the Arrived count tracking with the Confirmed count? A gap suggests travel or logistics issues. |
Exporting Funnel Data​
Funnel data can be exported for presentations and reports:
- Click the Export button on the Funnel tab.
- Select the format:

The funnel page includes KPI cards above the visualization:

Benchmark targets are guidelines based on historical event data. Actual performance varies by event type, region, season, and specialty demand.
Best Practices​
- Monitor the funnel daily during active outreach. Conversion rates that drop below benchmarks early in the process are easier to correct than those discovered late.
- Investigate stage-specific drop-offs. If the Contacted-to-Confirmed rate is low, consider adjusting your outreach messaging, compensation package, or event details.
- Use specialty filters to allocate outreach resources. If RN confirmation rates are lower than CNA rates, dedicate more outreach effort to the RN pool.
- Compare across events. After multiple events, compare funnels across events to identify trends and improve future forecasting.
- Share funnel exports with leadership. The PDF export provides a concise summary suitable for stakeholder updates and planning meetings.
